How this helps your business
It runs on the Google tools UpVue already pays for: Cloud, Drive, Gmail, Calendar, Workspace sign-in. 200 clients' books in one place, with a wall between them that is a database rule, not a promise.
- Google Drive stays the filing cabinet; Gmail and Calendar become the agents' hands; Workspace sign-in decides who sees what
- Each client's rows, files and Xero token sit in their own lane; the AI enters one lane at a time and holds no keys
- Nobody, not even the app, can delete or drop a table; every write is stamped and reversible
- Everything in UpVue's own Google Cloud account, in Singapore, on UpVue's bill
Google Cloud, Drive and Workspace
Google Cloud
Runs the agents and the screens in UpVue's own project, Singapore region. Cloud Run scales to zero between runs; one Postgres database with a silo per client; one bucket for files.
Google Drive
The filing cabinet the firm already uses. One shared drive, one folder per client; every document the agents read or write lands there, so nothing lives only inside the app.
Gmail
With consent, the agent reads a client's accounts mailbox for invoices, and sends renewal emails and client questions from UpVue's own address.
Google Calendar
The Customer service agent books the first meeting straight into the partner's calendar and sends the invite.
Google Sheets
Any table on these screens exports to a Sheet the firm can keep working in: the client list, the renewals, the anomalies.
Google Workspace sign-in
Accountants sign in with the firm's Workspace account. Who sees which client is one list, managed by UpVue.
Gemini API
Billed per token on UpVue's Google Cloud invoice. No seats, no per-document fee. A higher tier (Gemini Pro, or Claude Opus through Vertex AI) is a setting, per agent.
WhatsApp Business
One number for receipts in and renewals out, on the Secondhuman platform number or UpVue's own.
One cloud, one silo per client
Who gets in, and how
The guardrails
One silo per client
Every row carries the client. A run sets the client once; the database refuses rows from any other.
The AI holds no keys
Gemini gets the file and the rows for one client, returns fields and reasons. No database login, no Drive token, no Xero token.
One token per client
Xero consent is granted per organisation and stored on that client's row. Revoked in Xero, gone the same night.
One folder per client
The service account lists a client's folder by its stored id. It cannot list the drive.
Accountants by assignment
A URL for a client you are not assigned to returns nothing.
Everything logged
Every read, write, refusal and approval, with who, which client and when.
